Road Freight RFQ Checklist for SMEs

A strong road freight RFQ removes guesswork for transport providers. When routes, loading conditions, and service expectations are clear from the start, suppliers can price faster and with fewer clarifications.

1. Define the transport scope

List origin and destination points, delivery frequency, expected volumes, and whether trips are ad hoc, daily, or contract-based.

Include vehicle preferences such as tautliner, flatbed, refrigerated truck, or heavy-duty equipment so suppliers quote against the same requirements.

2. Clarify service conditions

Explain loading hours, turnaround expectations, proof-of-delivery requirements, and any site access restrictions that affect planning.

If escorts, special permits, or weekend delivery windows apply, add them to the RFQ up front to avoid later price revisions.

3. Compare on measurable criteria

Ask bidders to respond on rate structure, transit time, claims handling, and reporting capability in a consistent format.

This makes it easier to compare suppliers on value instead of price alone and speeds up internal approval.
